Short answer

A useful medical device database is specified by segment, product area, entity type and role, confirmed to contain business contact data only, checked before delivery and tested on a sample before you commit. Treat manufacturers, distributors and hospital buyers as separate lists with separate messages.

Medical device markets are small in the places that matter. A distribution director in one country, a procurement head at one hospital group or a product manager at one manufacturer can be the whole target. A database that covers thousands of generic “healthcare” contacts will hide these people, while a well-specified one will make them easy to find.

This guide is for sales, marketing and business development teams at device manufacturers, component suppliers and distributors who are about to request a quote. If you are still choosing where to expand, start with how medical equipment suppliers find distributors and our overview of healthcare trends for 2027.

VisitorsList event pages describe the audience of each show. The RSNA page lists radiologists, radiographers, medical physicists, imaging scientists, hospital executives and IT specialists, and the HLTH USA page lists health system executives, payer executives, digital health founders, healthcare investors and pharma leaders. The WHX Dubai page (formerly Arab Health) covers the January 2027 edition.

Specify the record, not just the headline

VisitorsList event pages describe records in four layers: person (name, job title, business email, phone where available, professional profile), company (name, website, industry, size, location), event relationship (attendee, exhibitor, sponsor or speaker) and targeting (industry, job function, geography, seniority, segment). They also state that lists can be filtered by industry, job function, seniority, company size and country. For medical device work, add three specifications of your own:

  • Clinical or product area. Imaging, orthopaedics, diagnostics and patient monitoring are different buyer groups.
  • Entity type. Manufacturer, distributor, importer, hospital group and clinic need to be separable.
  • Role type. Procurement and clinical roles need different messages, so ask whether you can tell them apart.

Questions specific to healthcare data

  1. Does the list contain only business contact data? B2B contact data is not patient data. Ask the provider to confirm in writing that no patient information is included.
  2. How are roles verified? Ask how clinical and procurement titles are checked, and when the data was last refreshed. VisitorsList describes a data verification and validation service.
  3. Can I segment by region and entity type? A list that cannot separate distributors from manufacturers will cost you time in cleanup. See data segmentation and customization.
  4. What are the delivery format and timing? VisitorsList event pages say lists are delivered as CSV or Excel files for common CRM tools; confirm timing for your order.
  5. What rules apply to my outreach? Ask about usage limits and opt-out handling, and check local rules for your recipients.

Test a sample before you commit

  1. Pick 20 accounts you know well.Include current distributors, lost deals and customers, so you can judge the data against what you know.
  2. Check the roles.Look for the procurement head, the clinical lead and the distribution director, not just any contact.
  3. Check currency. Are the people and titles still current, and are the companies still active?
  4. Check segmentation. Can you separate distributors, manufacturers and hospitals without manual cleanup?
  5. Compare with your CRM.Count the net new records. A list that only repeats what you already hold adds little.

Compliance note. Use business contact data only, keep outreach relevant to the person’s role and follow the rules that apply in their region, such as GDPR, CCPA, CASL and CAN-SPAM. Some hospital systems have strict policies on vendor contact, so keep messages professional and easy to opt out of. This is general guidance, not legal advice.

From database to outreach

  • Sequence by segment. Contact distributors with a territory-specific message and hospital buyers with an outcome-specific one.
  • Use shared context. Where records come from an event, refer to it. Our explainer on what an attendee list is and how to use it shows how teams do this.
  • Keep source notes. Record where each contact came from so you can answer if asked.
  • Measure by segment. Replies by role and region tell you where to expand.

The checklist above is not specific to healthcare. See how it applies in cybersecurity and automotive prospecting.

Frequently asked questions

What should a medical device contact database include?

Name, job title, company, entity type, location and business email, plus fields that help you segment such as job function, seniority and product area where available.

Is business contact data the same as patient data?

No. B2B contact data describes professionals and companies, not patients. Ask any provider to confirm in writing that no patient information is included.

Should I buy by event or by industry segment?

An event list gives shared context for outreach and shows who took part in a specific show. A segment list gives breadth. Many teams use both, starting with the events that match their target regions.

How do I judge quality before paying?

Test a sample of 20 accounts you know well for role coverage, currency and segmentation, and compare with your CRM for net new records.
